Executive Administrative Assistant Position Available
Christian Associates of Southwest Pennsylvania is seeking a part-time Executive Administrative Assistant to begin on or before October 20, 2024. We need a meticulous, reliable, friendly, and self-motivated person who loves the church, prays for its unity, and celebrates its diversity.
The Executive Administrative Assistant will manage Christian Associates' office operations, including these duties:

Reception and Hospitality:
-
Coordinating office communications including answering phones, retrieving and processing mail, answering inquiries on phone and e-mail;

Maintaining equipment, ordering supplies, processing mailings;

Managing facilities usage, including reserving space and arranging catering;
-
Compiling and tracking meeting attendance information;
-
Facilitating partner organizations' use of Christian Associates space and property, including mailing lists;
-
Providing clerical/support duties for meetings of the Council and Committees;
-

Data and File Management:
-
Maintaining and regularly updating the Salesforce database, including mailing and fundraising records;
-
Establishing and maintaining all records, files and minutes, including proper disposal or archiving of outdated records;
-
-
Insurance and HR:
-
Acting as a liaison with insurance and pension providers;
-
Processing payroll including record keeping and verification and liaising with (outsourced) payroll services personnel;
-
Maintaining personnel files;
-
Recording vacation, PTO, and other leave for all employees;
-
-
Bookkeeping Support:
-
Creating, sending, and tracking invoices and giving statements;
-
Making bank deposits and mailing outgoing checks prepared by bookkeeper;
-
Preparing and delivering urgent outgoing checks between bookkeeping sessions;
-
Organizing bills, statements, and other financial data for processing and review by bookkeeper and/or treasurer, and assisting the bookkeeper as requested;

Promptly acknowledging all donations;

Liasing with external auditor;
-

Program Support:
-
Managing newsletter advertisements and event postings;
-
Updating Web site and social media as requested by Executive Minister;
-
Processing indigent burial services;
-
Assisting the Executive Minister in administrative and special projects.

The position requires:
-
HS Diploma and at least 5 years of administrative office experience;
-
Excellent office administrative skills;
-
Strong interpersonal written and verbal communication skills;
-
Problem solving and organizational skills;
-
HR knowledge;
-
Financial acumen;
-
Strong computer skills including use of MS Office, Salesforce, and social media (familiarity with Quicken and Web site maintenance experience a plus);
-
Ability to multitask;
-
Ability to respond to a wide range of individuals from variety of organizations and backgrounds;
-
Mission centered commitment, good judgment, professional/business-like orientation, ability to establish strong working relationships.
The position is part-time: 15 hours per week. The weekly schedule is flexible. Onsite presence in the office during regular business hours (9 a.m.-5 p.m.) is expected for at least 10 hours per week; remote work is an option for the balance of the hours.
The range for compensation will be between $22.00 and $27.00 per hour, depending on experience, plus paid vacation time and PTO.
